Overview
This article covers how to create org units in Emersion. For a comprehensive understanding of what an org unit is, its purpose and particularly its purpose within the Permissions module and Agents module, please read the Permissions Fundamentals article.
Accessing Org Units
Admin > Org Units and Roles > Org Units
The list of org units will be presented on the screen to the user.
Creating Org Units
To create a new org unit, start by clicking the Create New button on the right-hand side of screen.
The New Organisational Unit page will appear.
- Give the org unit a name.
- Give the org unit an optional description.
- If this org unit is for an Agent, select the Agent's Account from the list. If not, or you are not sure what this is, leave blank.
- Enter an optional Org Unit or Agent Code. This field is used by service providers who assign short codes and key identifiers to partners and/or departments.
- If the org unit will be used to filter which End User accounts can be seen by an Agent, select the agent's Account Group from the list. If not, or you are not sure what this is, leave blank.
- Optionally enter a Ledger Suffix Export code. If not, or you are not sure what this is, leave blank.
- Once you are done, press the Next button.
- A notification that the Org Unit has been saved will appear on screen and the user will be presented with the new org unit open in EDIT mode on the page.
If you do not need to do further configuration at this point, press the Save Org Unit button towards the bottom.
The remaining fields have to do with:
- assigning commission tiers to agents
- adding and removing roles.
- adding staff users to the org unit.
Assigning Commission Tiers to Org Units
This section applies only to subscribers of the Commissions and Agent modules. In all other cases, these commission-related fields can be skipped.
- Select the correct commission tier (plan) from the list of Subscription Commissions Tiers.
- Select the correct commission tier (plan) from the list of Product Commissions Tiers.
- Give the plan a corresponding start date in the two Start Date fields. This start date is the date the Agent's commission plan takes effect.
Including and Removing Roles to Org Units
This section (commencing after the Org Unit or Agent Code field) shows which roles are in included in the org unit and which are not.
To include a role in the org unit:
- Under Roles NOT IN, highlight the role you want to add to the org unit. Hold down the CTRL key and left-click to select more than one role.
- Press the << button. The role(s) will be removed from the Roles NOT IN list and added to the Roles IN list.
To remove a role from an org unit, we repeat these steps in reverse.
- Under Roles IN, highlight the roles you want to remove from the org unit. Again, you can hold down the CTRL key and left-click to select more than one role a time.
- Press the >> button. The Org unit(s) will be removed from Roles IN list and added to the Roles NOT IN list.
Users of this org unit will receive the permissions and powers from all role groups that are included.
In the case of permissions in one group being inconsistent with permissions in another group, the higher level of access takes precedence.
Add Staff Users to the Org Unit
Staff Users can be added to an Org Unit in two ways:
- Editing the Staff User account and selecting the new org unit from the Org Units list; or
- Via editing the org unit as described below.
To add staff users to the org unit:
Click the Add Users to <Org Unit name> button.
The user will be taken to the Add Users screen.
Users listed in the Users NOT IN list are not currently attached to the org unit. Hold down the CTRL key and left-click to select more than one user.
Press the >> button. The users will move from Users NOT IN list to the Selected Users list.
Press the Save button to apply the changes. The user will be taken back to the Org Unit page.
New / Edit Organisation Unit Page
When you are finished all changes on the Org Unit, press the Save Org Unit Users button.
At any time, you can discard your changes and head back to the list of org units by pressing the Back To Org Unit List button.
