Overview

This article covers maintaining staff user accounts in Emersion. Specifically it covers:

  • viewing Staff User accounts 
  • editing Staff User accounts
  • locking out Staff users
  • unlocking Staff Users after too many unsuccessful log in attempts.
  • changing the username or password.

The user starts out at the following navigation path:

Admin > Staff



Creating New Staff Users

From Admin > Staff click on the Create New Staff Login button.

Fill out the staff member details paying careful attention to the following;

  • The username & password chosen under the Cumulus User Login section. This will be required by the staff member to log into https://cumulus.emersion.com.au
  • The Org Unit & Status under the Status Information section. The Org Unit determines the permissions of the staff member

Once finished, hit the Save button


Staff User Account Locking

For security reasons, all staff accounts are subject to locking if the user attempts to log in 3 consecutive times and is unsuccessful.  Two columns in the list show you information pertaining to locked and unlocked accounts.

  1. Login Attempts - shows the number of unsuccessful log in attempts since the last time the user successfully logged in. If the user has never logged in, this field will be blank.
  2. Last Login - shows the last time the user successfully logged in. 

This functionality cannot be disabled and applies to all users of the system. 


Viewing Staff Users

When the list of staff users loads, find the user you are after by using the search filters on screen. When you have found the user you want to view, click the View link under the Actions column. The user's record will open in read-only mode.


Editing Staff Users

Follow the same instructions for viewing staff accounts above, but this time, under the Actions column, click the Edit link.

Make your changes and press Save when finished.


Locking Out Staff Users

When staff leave, it is usually a requirement to remove their access to any business systems and IT platforms, including Cumulus.  To instantly prevent users from logging in, follow the instructions to edit the staff user's account.

Under the Status Information section, select any of the following from the Status drop down list. 

  • Inactive
  • Cancelled
  • Suspended

Users are unable to log into Cumulus with these statuses.


Unlocking a Staff User

As explained earlier in this article. staff user accounts will be automatically locked after 3 unsuccessful log in attempts. 

Users can tell if a staff user has been locked out from the Staff List by looking at the Login Attempts column.  The system will display 'Account Locked' beside the number of unsuccessful login attempts (3).

The system will immediately reset the count to zero by clicking the Reset Login Attempts link under the Actions column. T

If the user has genuinely forgotten their password, you will need to change the password via editing the staff user.


Resetting or Changing a Staff User's Password

To reset the password for a user, follow the instructions for editing an account to put the page into EDIT mode.  Then under the Cumulus User Login section:

  1. Click the Edit Username and Password check box.
  2. Enter a new username. 
    1. If the user is not wishing to change their username, enter the current username.
  3. Give the user a new password and confirm it.
  4. Press Save when you are finished.
